All settings that determine how the integration between Younium and PE Accounting will work can be configured at Settings - Integrations - PE Accounting.
All settings involving synchronization can be set up with scheduling synchronization jobs in Settings, General, Scheduled jobs.
We can choose to collect exchange rates from PE Accounting, the exchange rates synchronized will be the ones that are set up.
The next setting is regarding the accounts in Younium. If you create customers in PE Accounting that you want to synchronize to Younium, the first checkbox should be filled and the other way around if you want to transfer Younium accounts into PE Accounting.
In a similar way as with the accounts, we can synchronize PE Accounting products to Younium products.
All of the synchronizations can be done manually by pressing the Synchronize now button, or you can set up scheduled synchronizations so that all the information above is updated continuously.
Events & Actions
There are two ways of sending invoices from Younium to PE Accounting, either as a certified invoice or as a draft.
When the first checkbox is filled, a certified invoice will be sent, and if left empty, a draft will be sent to PE Accounting.
The last checkbox is regarding accrual, when this box is filled the revenue recognition periods from Younium will transfer to PE Accounting. As an example, if an order is billed quarterly, and Q1 is invoiced, 01-01 to 03-31 will be the revenue recognition period synchronized to PE.
After an eventual change to the settings, do not forget to press the Save and Setup button.
When an invoice is sent from Younium to PE Accounting they will end up under Customer invoices.
If a certified invoice is sent to PE Accounting it will straight away end up under unpaid invoices under the category Ledger.
In the case of a certified invoice, it is not possible to make any drastic changes, instead, most of the fields are locked for editing. The functions that are in this view are to change the delivery method, email, and add a reference number to the invoice.
- If a draft invoice is sent to PE Accounting which means it is not yet certified, it will end up under the category Authorise.
In this view, basically, all of the information can be changed. What is important to pay attention to is that changes here will NOT be reflected back to Younium, a change in price or similar in this view will create differences between Younium and PE Accounting regarding this. This will result in differences in the accounting relative to the metrics and data in Younium.
The checkbox Certify the invoice needs to be checked in order to be able to credit invoices. If the checkbox is not filled and the invoice is credited in Younium, this will not reflect back to PE due to the invoice being a draft and do not have a PE invoice number.
To create a credit, press the three dots on the invoice header, and then credit invoice. Choose the rows that should be credited and also from which date the credit should be valid, depending on if you want the credit to cover the whole period or parts of it.
Observe that you cannot credit invoice dates that are in the future or the ones that are older than 14 days.
A credit is shown as below in PE Accounting:
